This position will support the university’s Department of Computer Science (UTCS), which boasts a top ten ranking from US News and more than 6,500 students across all programs. This places UT among the most significant intellectual hubs for computer science research and education anywhere in the world. UTCS has a close relationship with Austin’s thriving tech culture and works at the forefront of fields such as artificial intelligence, robotics, quantum computing, and cybersecurity.
Purpose
Serve as the central operations contact for all student organizations within the UT Austin Computer Science Department, managing end-to-end logistics for procurement, catering, and most event needs. Coordinate approximately 10 vendor orders per week, overseeing the full procurement lifecycle from vendor outreach to initiating the invoice payment process.
Facilitate cross-functional communication among student organizations, external vendors, and the department’s accounting office to ensure alignment on order specifications, deadlines, and budget constraints. Monitor and enforce per-event budget allocations across all managed organizations, proactively flagging discrepancies to prevent overspending and maintain fiscal accountability.
Responsibilities
- Optimizing catering and vendor logistics for recurring and one-time club events across all CS student organizations.
- Processing and tracking ~10 vendor orders weekly via America To Go and direct vendor correspondence, providing proactive status updates to student organizations throughout the fulfillment process.
- Submitting department purchase requests and routing invoices to the department accounting team for timely payment processing,
- Reconciling event-level spending against approved student organization budgets.
- Serving as a main liaison between student org leadership, vendors, and department financial staff.
Required Qualifications
- Experience in coordinating operational and logistical aspects of student organizations, events, etc.
- Current Sophomores, Juniors, or Seniors.
- Open to all majors.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
- Business majors with experience in accounting and budget management.
Salary Range
$14 per hour.
Working Conditions
- Standard office environment.
- Repetitive use of a keyboard at a workstation.
